Overview of Templates

In this lesson, you will gain an overview of how templates function in TEAMS and why they are important for generating documents and communications across the system. The lesson explains the three main template types and the practical rules required to use them correctly.

By the end of this lesson, you will understand:

  • what Report Templates, Email Templates, and SMS Templates are used for in TEAMS
  • how templates are linked to different Objects such as Applicant, Student, Application, Enrolment, and Agent
  • how merge fields work and why the selected object determines which fields are available
  • the difference between Master Templates and Custom Templates
  • why the Master Template is the best starting point when you need to view all available fields and tables
  • the importance of using curly brackets { } for merge fields in all Report, Email, and SMS templates
  • how table merge fields must remain intact if those tables are being used in the template
  • how to name templates clearly and link them to the correct campus
  • why Applicant and Student templates are often linked to all campuses, while Application and Enrolment templates may need campus-specific versions
  • how to keep SMS Templates short and effective, especially when working within the 160-character limit
